    Fleegital ("we," "our," or "us") operates a comprehensive driver recruiting operating system designed for the US trucking industry. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you access our website, mobile application, and all related services (collectively, the "Platform").

    By accessing or using the Platform, you consent to the practices described in this Privacy Policy. If you do not agree with these terms, please discontinue use of the Platform immediately.

    Information We Collect

    2.1 Personal Information

    When you register, book a demo, or use our Platform, we may collect:

    • Full name, email address, phone number, and job title
    • Company name, fleet size, and business address
    • Billing and payment information (processed securely via third-party payment processors)
    • Login credentials and authentication data
    • Driver applicant information submitted through recruiting forms (CDL details, experience, endorsements, violations history)
    • Communication records (SMS messages, emails, call logs) processed through the Platform

    2.2 Automatically Collected Information

    When you interact with the Platform, we automatically collect:

    • Device information (browser type, operating system, device identifiers)
    • IP address and approximate geographic location
    • Usage data (pages visited, features used, time spent, click patterns)
    • Referral source and campaign attribution data
    • Cookies and similar tracking technologies (see Section 9)

    2.3 Information from Third-Party Integrations

    When you connect third-party services to Fleegital, we receive data from those platforms as described in Section 4. This may include lead information, contact details, communication metadata, and advertising performance data.

    How We Use Your Information

    We use collected information for the following purposes:

    Platform Operations

    Providing, maintaining, and improving our recruiting tools, pipeline management, and automation features.

    Communications

    Sending transactional emails, SMS messages, system notifications, and marketing communications (with opt-out).

    Analytics & Attribution

    Campaign ROI tracking, recruiter performance analysis, hiring velocity metrics, and cost-per-hire calculations.

    Security & Compliance

    Fraud prevention, FMCSA compliance verification, platform security, and legal obligations.

    We also use information for AI-powered features including driver pre-qualification scoring, risk assessment, suggested replies, churn prediction, and automated lead routing. AI processing is performed to improve recruiting outcomes and is subject to human oversight.

    Third-Party Integrations

    Fleegital integrates with several third-party services to provide a unified recruiting experience. Each integration involves specific data processing:

    Meta (Facebook & Instagram)

    When connected, we receive lead data from Facebook Lead Ads and Instagram campaigns, including names, contact information, and ad attribution data. We use the Meta Conversions API and Graph API to sync lead information and track campaign performance. Data is processed in accordance with Meta's Platform Terms and Data Policy. Meta lead data is not sold or shared beyond the functionality requested by the user.

    Google (Gmail & Google Workspace)

    Gmail integration allows you to send and receive emails directly within Fleegital. We access your Gmail account via OAuth 2.0 with limited scopes (sending & reading). We may process email content and metadata solely to provide recruiting communication features. Our use of Google APIs complies with Google's API Services User Data Policy, including the Limited Use requirements. We do not use Google user data for advertising, profiling, or resale. We only access and process the minimum data necessary to provide our services.

    Microsoft Outlook

    Outlook integration allows you to send and receive emails directly within Fleegital. We connect via Microsoft Graph API using OAuth 2.0 authentication. We may process email content and metadata solely to provide recruiting communication features. Data handling complies with Microsoft's API Terms of Use.

    RingCentral

    RingCentral integration enables VoIP calling, call recording, and SMS messaging within the Platform. Call logs, recordings, and SMS transcripts are stored to maintain communication history with driver candidates. This data is used for quality assurance, training, compliance, and to provide a complete timeline of candidate interactions.

    HubSpot

    HubSpot integration enables CRM synchronization, allowing bi-directional data sync of contacts, leads, and deal information. We access HubSpot data via their OAuth 2.0 API to keep your recruiting pipeline in sync with your CRM. We only access data necessary for CRM synchronization, and users control what data is synced.

    Indeed & Job Boards

    We import applicant data from Indeed and other job board platforms through their official APIs or authorized import mechanisms. This includes applicant profiles, resumes, and application responses.

    OAuth 2.0 Authorization: All third-party integrations are connected through secure OAuth 2.0 authorization, and users explicitly grant access permissions before any data is accessed.

    Important: You may disconnect any integration at any time through your Fleegital settings. Upon disconnection, we will cease receiving new data from that service. Previously synced data remains in your Fleegital account unless you request its deletion.

    Data Sharing & Disclosure

    We do not sell, rent, or trade personal data to third parties for marketing or advertising purposes. We may share data in the following circumstances:

    • Service Providers: Third-party vendors who assist with hosting (Supabase), payment processing, email delivery, SMS messaging, and analytics. These providers are contractually bound to protect your data.
    • Legal Requirements: When required by law, subpoena, court order, or government request. We may also disclose information to protect our rights, safety, or property.
    • Business Transfers: In connection with a merger, acquisition, or sale of assets, your data may be transferred to the acquiring entity.
    • With Your Consent: We may share information with third parties when you explicitly authorize us to do so.
    • FMCSA & DOT Compliance: Driver qualification data may be shared with or verified against FMCSA databases as required for regulatory compliance in the trucking industry.

    Data Retention

    We retain your personal information for as long as your account is active or as needed to provide services. Specific retention periods include:

    • Account data: Retained for the duration of your account plus 30 days after deletion request
    • Recruiting pipeline data: Retained per your company's configured retention policies
    • Communication logs (SMS, email, call recordings): Retained for up to 3 years for compliance purposes
    • Analytics and attribution data: Retained in aggregated, anonymized form indefinitely
    • Driver qualification records: Retained as required by FMCSA regulations (minimum 3 years after employment termination)
    • Billing records: Retained for 7 years as required by tax regulations

    Security

    We implement industry-standard security measures to protect your data, including:

    • TLS/SSL encryption for all data in transit
    • AES-256 encryption for data at rest
    • Role-based access controls and multi-factor authentication options
    • Regular security audits and vulnerability assessments
    • Automated backup and disaster recovery procedures

    While we strive to protect your information, no method of electronic transmission or storage is 100% secure. We cannot guarantee absolute security but will notify affected users promptly in the event of a data breach as required by applicable law.

    Additional Data Protection Commitments

    • We do not sell, rent, or trade personal data to third parties for advertising or marketing purposes.
    • We only collect and process the minimum data necessary to provide our services.
    • All third-party integrations are connected via secure OAuth 2.0 authorization, with user consent.
    • We do not use Google user data for advertising, profiling, or resale.
    • We may process email content and metadata (Gmail and Outlook) solely to provide recruiting communication features.
    • Meta (Facebook/Instagram) lead data is not sold or shared beyond the functionality requested by the user.
    • We process data deletion requests within 30 days of receipt.

    Request deletion of your personal data, subject to legal retention requirements. We process deletion requests within 30 days of receipt.

    CCPA/CPRA Notice: California residents have additional rights under the California Consumer Privacy Act, including the right to know, delete, correct, and opt-out of the sale or sharing of personal information. We do not sell personal information as defined by the CCPA.

    GDPR Notice: If you are located in the EEA or UK, you have rights under the General Data Protection Regulation, including the right to lodge a complaint with your local data protection authority.

    The Platform is not intended for individuals under the age of 18. We do not knowingly collect personal information from children. If we discover that we have collected data from a minor, we will promptly delete it. Given the nature of our industry (commercial driver recruiting), all users are expected to be adults with valid commercial driver's licenses.

    We may update this Privacy Policy from time to time. Material changes will be communicated via email notification to your registered account or through a prominent notice on the Platform. Your continued use of the Platform after such changes constitutes acceptance of the updated policy. We encourage you to review this page periodically.
